The fields that matter most
If you keep only three things accurate, keep these: a named owner, a date you have verified, and where the evidence is stored. The rest of the columns exist to make those three easy to act on.
- Item
- The plain name you would use in conversation, so anyone can recognise the record without opening a file.
- Category
- A simple grouping such as insurance, certificate, licence or contract, so you can review one type of renewal at a time.
- Related to
- The property, vehicle, site, person or supplier the record belongs to. Without this, similar records become hard to tell apart.
- Owner
- The named person responsible for acting before the date. A register with no owner quietly becomes everybody's and nobody's job.
- Issuer / Provider
- Who issued or supplied the document, so you know exactly whom to contact when you need to renew or request a copy.
- Reference
- The policy, certificate or contract number that identifies the record when you call or write.
- Due / expiry date
- The date you have verified from the document, issuer or contract. This is the one field worth double-checking every time.
- Evidence / file location
- Where the actual document lives — a shared drive folder, a filing cabinet or a mailbox. Without it, the register tells you a date but not where the proof is.
- Notes
- Anything the next person needs: renewal conditions, who signed it off, or what happened last time.
When a spreadsheet works well
A spreadsheet can be perfectly adequate. If the register is small and stable, one person maintains it consistently, and the volume is low enough to review manually every month, a single well-kept file does the job — and costs nothing. Many businesses run this way for years without a problem.
The template above is deliberately plain for that reason: no formulas, no macros, nothing to break when you add a column or share the file with a colleague.
When the spreadsheet starts to become fragile
Dates live in more than one place
Some renewal dates end up in the spreadsheet, others in an inbox, a calendar invite or a supplier portal. Once the register is no longer the single list, nobody quite trusts it.
Ownership is unclear
A row can carry a date without anyone knowing who acts on it, which usually surfaces only when the date has already passed.
One administrator holds the knowledge
If the person who maintains the file is away or leaves, the context behind the rows tends to leave with them.
There are no staged reminders
A spreadsheet does not tell you that something is due in ninety, thirty or seven days. Someone has to remember to look.
History is hard to keep current
Overwriting last year's date is quick, but it removes the record of what was in place before.
