1. Add your first item
Open Add item and choose whether to upload a document or create a reminder / obligation when there is no file.
- •Documents can be PDF, PNG or JPG files up to 10 MB
- •Standalone items can track inspections, reviews, renewals and other due dates
2. Set the important details
For an uploaded document, Duevia can suggest the title, issuer, reference number and expiry date for you to confirm. For a file-less reminder / obligation, add the title and due date directly.

3. Choose your reminders
Your workspace has a default reminder schedule — for example 90, 60, 30, 14 and 7 days before the due or expiry date, and on the date itself. Reminders are emailed to the responsible person.

4. Assign a category and an owner
Pick the category the item belongs to (insurance, employee certificates, vehicles, equipment, suppliers, properties, contracts, digital assets) and link it to the employee, vehicle, supplier, property or business it relates to. Then name the responsible person who should receive the reminders.

5. Watch the Overview dashboard
Overview groups everything by status: Expired, Urgent, Due Soon, Valid, No Expiry Date and Draft. It also shows recent activity so you can see what changed and who changed it.
6. Use the Calendar for what's ahead
Calendar lays out upcoming due and expiry dates month by month, which makes it easy to spot a busy period before it arrives.
7. Reports and CSV export
Reports summarises your items by status and category. CSV export is available on the Small Business and Business plans, and basic reporting is included from Solo upwards.
8. Manage your team from People & Assets
People & Assets is where you add the employees, vehicles, equipment, suppliers and properties your items relate to, and where you invite teammates by email and set their role (Admin, Member or Viewer).

- •The workspace owner counts as one seat
9. Manage your subscription in Settings
Settings shows your current plan and usage. Workspace owners can open the billing portal from there to change plan, update payment details or cancel.
